Terms of Service

1. Acceptance of the terms
By accessing or using LlamaDoc ("the Service"), operated by Dancing Atom S.L. ("we", "LlamaDoc"), the clinic or person contracting the Service ("Customer") agrees to be bound by these Terms of Service. If you do not agree, do not use the Service.
2. Service description
LlamaDoc is an AI-powered virtual receptionist SaaS platform for clinics and healthcare providers. The Service enables the Customer to:
- Answer incoming calls 24/7 in Spanish with a synthetic voice that identifies itself as artificial intelligence.
- Collect the reason for the call and book, modify or cancel appointments according to the Clinic’s rules.
- Send automated confirmations and reminders by SMS, WhatsApp and/or email.
- Access a management panel to review calls, appointments, patients and configuration.
- Use a LlamaDoc-managed phone number (DID) during the term of the contract.
3. Customer account
The Customer must provide accurate information when contracting the Service and keep it up to date. The Customer is responsible for the confidentiality of login credentials and any activity performed from the account. Unauthorised use must be reported immediately to [email protected].
4. Acceptable use
The Customer agrees not to:
- Use the Service for unlawful purposes or in breach of applicable law.
- Upload or enter sensitive clinical data beyond the minimum necessary for appointment management (the Service is not a clinical record system).
- Use the Service for non-medical activities it was not designed for (debt collection, mass telemarketing, etc.).
- Reverse-engineer, decompile or attempt to access the systems without authorisation.
- Resell, redistribute or sublicense the Service to third parties without written authorisation.
5. Pricing, payment and cancellation
The Service is offered on monthly plans with no long-term commitment. Current pricing is published at llamadoc.es/pricing. Payment is made in advance at the start of each billing period by accepted payment methods (card, SEPA direct debit when available).
The Customer may cancel at any time, with effect at the end of the current monthly period. No pro-rated refunds are issued for periods already started, unless applicable law requires otherwise.
Calls in excess of the monthly plan allowance are charged at the additional-call rate shown on the pricing page (currently €0.10 per additional call).
Prices may be revised with a minimum of 30 days’ prior notice by email. The Customer may terminate the contract if they do not accept the update.
6. Personal data and Data Processing Agreement
The processing of personal data under the Service is governed by the Privacy Policy and by the Data Processing Agreement (DPA), which forms an integral part of these Terms. The Clinic is the Data Controller; LlamaDoc acts as Data Processor. By accepting these Terms the Customer also accepts the DPA.
7. Intellectual property
The Service, software, models, prompt templates, the "LlamaDoc" trademark and all derived rights are the exclusive property of Dancing Atom S.L. The Customer retains ownership of the data entered or generated through the Service.
The Customer is granted a non-exclusive, non-transferable, limited licence to use the Service for the duration of the contract.
8. Availability and maintenance
We aim for monthly availability of 99.5%, excluding scheduled maintenance windows notified in advance and force-majeure events or third-party failures (telco carriers, AI providers). We do not guarantee uninterrupted service.
9. Limitation of liability
LlamaDoc is an automated reception tool. It does not replace clinical judgement and does not constitute medical advice. The Clinic remains responsible for supervising the Service, validating the appointments it creates and contacting patients where necessary.
To the fullest extent permitted by law, Dancing Atom S.L.’s total liability to the Customer for any cause is limited to the amount actually paid by the Customer in the 12 months prior to the event giving rise to the claim. Indirect damages, loss of profit, loss of business or data are excluded.
These limitations do not apply where mandatory law does not allow them (wilful misconduct, gross negligence, personal injury, consumer rights).
10. Termination
Either party may terminate at any time with effect at the end of the current monthly period. LlamaDoc may suspend or terminate the Service immediately in the event of non-payment, fraudulent use or serious breach of these Terms.
On termination, the data return or deletion procedure set out in the DPA applies.
11. Changes
We may amend these Terms. Updated versions will be published on this page. Material changes will be notified to the Customer by email at least 30 days in advance and the Customer may terminate if they do not accept the new version.
12. Governing law and jurisdiction
These Terms are governed by Spanish law. Any dispute that cannot be settled amicably shall be submitted to the courts of the Customer’s place of residence when the Customer is a consumer, and otherwise to the courts of Madrid, Spain.
